Secretary cum Customer Service Representative 

A Front Office Secretary (or Assistant) handles administrative and clerical tasks to support the front desk operations of an organization. This role involves answering phones, managing correspondence, scheduling appointments, greeting visitors, and maintaining records. They are often the first point of contact for clients and visitors, so strong communication and customer service skills are essential. 

Key Responsibilities:

  • Answering and directing calls: Handling incoming calls, taking messages, and forwarding calls to the appropriate personnel. 
  • Managing correspondence: Responding to emails, and other forms of written communication. 
  • Scheduling appointments: Arranging meetings, appointments, and events. 
  • Greeting visitors: Welcoming guests, providing information, and directing them as needed. 
  • Maintaining records: Organizing and updating files, databases, and other records. 
  • Ordering office supplies: Ensuring the front office has necessary supplies and materials. 
  • Providing administrative support: Assisting with various tasks such as data entry, report preparation, and other clerical duties.
