🗂️ Office Assistant – Overview
Job Title:
Office Assistant (also called Administrative Assistant or Clerical Assistant)
Job Purpose:
To support the smooth operation of an office by performing a variety of administrative, clerical, and organizational tasks.
Core Duties & Responsibilities:
- Answer and direct incoming phone calls.
- Greet and assist visitors and clients.
- Handle incoming and outgoing mail, deliveries, and emails.
- Maintain organized filing systems (paper and electronic).
- Schedule meetings and appointments.
- Manage office supplies and order replacements when needed.
- Perform data entry, type documents, and create spreadsheets.
- Assist with basic bookkeeping or invoice tracking.
- Help coordinate meetings, travel, or office events.
Key Skills & Qualifications:
- Strong organizational and multitasking abilities.
- Clear written and verbal communication.
- Familiarity with Microsoft Office (Word, Excel, Outlook).
- Attention to detail and accuracy in administrative tasks.
- Professional appearance and demeanor.
- Ability to work independently and as part of a team.
Education & Experience (Typical Requirements):
- High school diploma or equivalent (minimum).
- Office administration or business certificate (preferred).
- Previous experience in an office or clerical setting is an advantage.
Work Environment:
