Administrator / Assistant Supervisor

Job Summary:

The Administrator / Assistant Supervisor supports day-to-day operations, ensures the efficient functioning of the team or department, and helps implement organizational policies. This role combines administrative duties with supervisory tasks and is essential to maintaining workflow and supporting senior management.


Key Responsibilities:

Administrative Duties:

  • Manage and organize office operations and procedures (filing, scheduling, documentation).
  • Maintain up-to-date employee and operational records.
  • Assist in preparing reports, presentations, and correspondence.
  • Ensure compliance with company policies and regulations.
  • Coordinate between departments and facilitate internal communication.

Supervisory Responsibilities:

  • Support the Supervisor/Manager in overseeing staff and daily activities.
  • Monitor employee performance and provide constructive feedback.
  • Help resolve staff or operational issues effectively.
  • Ensure tasks are completed on time and meet company standards.
  • Provide training and orientation to new employees when needed.

Customer Service & Communication:

  • Address internal and external queries in a professional manner.
  • Serve as a liaison between upper management and employees.
  • Foster a positive work environment and team culture.

Requirements:

  • Bachelor’s degree in Business Administration or a related field (preferred).
  • Proven experience in administrative or supervisory roles.
  • Strong organizational and multitasking abilities.
  • Proficient in MS Office (Word, Excel, Outlook).
  • Excellent communication and interpersonal skills.
  • Leadership capabilities and problem-solving mindset.

  • Ability to handle sensitive information with confidentiality.
  • Flexible and adaptable to change.
  • Strong time management skills.
