🗂️ Office Assistant – Overview

Job Title:

Office Assistant (also called Administrative Assistant or Clerical Assistant)


Job Purpose:

To support the smooth operation of an office by performing a variety of administrative, clerical, and organizational tasks.


Core Duties & Responsibilities:

  • Answer and direct incoming phone calls.
  • Greet and assist visitors and clients.
  • Handle incoming and outgoing mail, deliveries, and emails.
  • Maintain organized filing systems (paper and electronic).
  • Schedule meetings and appointments.
  • Manage office supplies and order replacements when needed.
  • Perform data entry, type documents, and create spreadsheets.
  • Assist with basic bookkeeping or invoice tracking.
  • Help coordinate meetings, travel, or office events.

Key Skills & Qualifications:

  • Strong organizational and multitasking abilities.
  • Clear written and verbal communication.
  • Familiarity with Microsoft Office (Word, Excel, Outlook).
  • Attention to detail and accuracy in administrative tasks.
  • Professional appearance and demeanor.
  • Ability to work independently and as part of a team.

Education & Experience (Typical Requirements):

  • High school diploma or equivalent (minimum).
  • Office administration or business certificate (preferred).
  • Previous experience in an office or clerical setting is an advantage.

Work Environment:

  • Office-based role, standard weekday hours.
  • May be in corporate, government, nonprofit, or small business environments.
